Job duties: This position serves as a high-level administrative support role that will be responsible for assisting in the preparation of communications and memoranda to Judicial Branch officers and employees and others outside of the Judicial Branch. This position is hybrid with some remote work possible with approval by the supervisor. This position provides key administrative support to the Trial Court Services department with its programs related to child welfare, probation supervision, specialty courts, district court clerks, jury management, court reporters, committees, and projects. The successful candidate will make and send scheduling polls, schedule meetings, attend and take minutes at meetings, perform administrative tasks as they relate to committees and projects, manage multiple email accounts, perform data entry, issue monthly reports, assist with the production and maintenance of manuals, forms, procedures, and other necessary documents related to the overall administration of the Judicial Branch, and serve as backup for answering incoming calls on a multi-line phone system as needed. There will also be occasional setup, tear down, and clean up for events. A high level of attention to detail is essential for the duties in this position.
Required education and experience: Graduation from high school or equivalency; supplemented by at least three years of general clerical work experience. Extensive knowledge of Microsoft Word, Excel, Outlook, and general database skills required; or any equivalent combination of education or experience which provides the following knowledge, abilities, or skills:
Excellent written and oral communication skills;
Experience with Microsoft Office 365 Suite and Adobe Pro;
Familiarity with Microsoft Teams, Zoom, and Microsoft Planner;
Ability to maintain various databases.
Ability to help produce web-based materials, forms, procedures, and other necessary documents related to the overall administration of the Judicial Branch.
Ability to monitor multiple email accounts in Microsoft Outlook to ensure timely, professional, and thorough responses to the public and branch staff.
Ability to effectively communicate in writing and verbally.
Ability to interpret and apply complex directions and instructions.
Ability to work collaboratively and develop and maintain an effective and harmonious working relationship with officials, employees, and the general public.
Ability to monitor calendars, meet deadlines, and assist with other administrative support tasks.
Ability to organize and track a large online folder system for documents.
